75 an hour 1 hour ago 1 hour ago 1 hour ago The Park Police Administrative Assistant will report to the Zone Commander in addition to taking directions from their District Administrative Assistant as needed.
Duties and Tasks:
Manages all administrative aspects of the day-to-day operations of the Zone Park Police Headquarters.
Has the primary responsibility of providing administrative and clerical support to their Zone Commander and other sworn members of the New York State Park Police.
Answers phones and emails, responds accordingly or forwards up the chain of command for action.
Receives incoming correspondence and reports to determine their significance.
Reviews outgoing correspondence for proper grammatical usage, clarity, factual correctness.
Arranges, coordinates and processes members travel to include; finding rooms available at the state rate, making hotel reservations, creating SFS expense reports upon return, processes individual credit card transactions and managing any discrepancies that may have occurred.
Generates purchases for all required office supplies and equipment, fleet maintenance, furniture and necessary Police supplies as well as the required database entries and SFS completion.
Manages service contracts for office equipment and schedules repairs as needed.
Daily oversight of Zone staff schedule, making changes as necessary, fixing discrepancies, and advising Command staff if needed.
Managing retained incident reports and purging as necessary annually and fiscally under direct supervision based on retentions guidelines.
Maintains files, records, spreadsheets and reports as requested by the Zone Commander of their designee.
Maintains Police fleet database for all zone issued vehicles, entering all maintenance, monthly mileage and fuel consumption Serves as point of contact for human resources related inquiries.
Is knowledgeable in the areas of employee benefits and payroll rules.
May also involved with the seasonal hiring process and payroll related documents and files.
General recruitment for vacancies.
Prepare job postings with all pertinent information and advertise as allowed.
Respond to inquiries about the openings and screen applicants for qualifications.
Schedule and conduct employment interviews with appropriate supervisors and assist with making hiring decisions.
Arrange the on-boarding and coordinate the training of new employees.
Works with Regional business office to obtain item numbers and updated hiring information, including employee benefits and union contractual information.
Fields questions from New York State Park Police Staff about human resources laws, policies and practices as well as payroll and benefits inquiries and obtains assistance in resolving problems.
Create and maintain personnel files for all staff.
Oversees and maintains multiple yearly budgets.
Audits field expenses and obtains prior purchase approval for all expenses within the Park Police Zone.
Provides projection expenses for NPS and T&S budgets prior to the start of each fiscal year.
Canvasses field members and other staff for office supplies and equipment needs for stations/specialty patrols/vehicles or personal health and safety.
Tracks each expense in multiple databases as well as obtaining approval for each purchase while following New York State purchasing rules.
Frequently monitors NPS budget and compares it to BETS for accuracy and fixes discrepancies.
Utilizes the overtime authorization form to generate the agency required bi-weekly overtime justification.
Deducts all zone personnel overtime costs from zone allocation.
Evaluates T&S expenses on a bi-weekly basis.
Deducts payroll expenses from the total allocation and verifies payroll accuracy.
Reconcile transactions in SFS on a weekly basis.
Compare BETS to JPMorgan statement monthly for accuracy.
Assists with confidential police related information, incident reports and activities.
Maintains and files arrest reports, tickets issued and sealed case orders.
Handles sensitive information discreetly and promptly.
Creates incident report file folders and files all related information according to the Park Police manual.
Maintain zone ticket inventory and update incident report with court disposition when the ticket is settled.
Disperse arrest report packet as needed, including mailing tickets and supporting documentation to court and mailing fingerprint cards to DCJS.
Assist in organizing the arrest packet to the District Attorney.
Generates the bi-weekly (DCO) District Command report that tracks all zone events, tickets, spending, arrests, retirements/resignations Maintains Ejustice certification for police related confidential inquires such as arrest records, orders of protection, BOLO's, and local wanted persons.
